Virtual Office
How Virtual Office handles your data
These details describe how the product works today.
Your account
- You sign in with a one-time code sent to your email address, or with your Google account.
- Your account holds your email address and a name. The name comes from your Google account, or from the part of your email address before the @.
- When you create an office, we keep your answers about your role and the size of your company.
- For each office you belong to, we keep your place in it: whether you are a member or an admin, and when you joined.
- An invitation keeps the email address it was sent to. Only an account signed in with that address can accept it.
Billing
- Payments go through Stripe. You pay on Stripe's checkout page, and an admin manages the subscription in Stripe's customer portal. Your card number is entered with Stripe, not on this site.
- For each office, we keep its Stripe customer and subscription references, the plan (monthly or yearly), the number of seats, when the trial and the current billing period end, and whether the subscription is set to cancel.
Audio, video and screen sharing
- Live audio, video and screen sharing go through a media server we run ourselves, built on LiveKit.
- Your microphone and camera are off when you arrive. You turn them on.
- Audio and video are not recorded. Recording is not switched on in the product.
Meeting transcripts
- A meeting is written down only when someone in it asks for a transcript.
- Everyone in the meeting is then included. Each person can leave their own words out. Guests' words are never written down.
- In Chrome and Edge on a computer, the browser's own speech recognition is used. In Firefox, Safari and on phones, short clips of your own microphone go to our server, which passes them to an OpenAI transcription model through Vercel's AI Gateway. We do not keep the clips.
- A summary and a list of what each person said they would do are written from the transcript by Anthropic's Claude.
- Only the people who were in the meeting can read its transcript and its notes. An office admin who was not there cannot.
- The words and the notes are deleted 90 days after the meeting ends. A record stays that the meeting happened and who was in it.
